Replacing a site pump? Start with a useful supplier enquiry

A pump replacement enquiry needs more than a photograph and a request for "the same one." Similar-looking equipment can have different connections, duties or installation requirements. Procurement can make the conversation more efficient by collecting the records already available and routing technical questions to the maintenance team.

Identify the existing equipment

Ask an authorised technician to record the manufacturer, model and serial details from available asset records or safely accessible nameplate information. Include the site asset number and the pump's location so the supplier and maintenance contact are discussing the same equipment. Do not remove guards, open equipment or enter a restricted area to collect purchasing information.

Describe the application

Ask the maintenance team to summarise what the pump serves and whether the request is for a like-for-like replacement or a reviewed alternative. Share existing manuals, drawings or previous purchase references if available. If a detail such as the medium, connection or operating condition is unknown, mark it as unknown rather than filling the gap with an assumption.

Clarify what is included

State whether the enquiry covers the pump only or also accessories, transport, installation or commissioning. Ask the supplier to itemise the proposed model and any included components. Supply, installation and commissioning are different scopes; confirm which party is responsible for each before comparing quotations or agreeing a delivery plan.

Make the review easy

Send the asset details, relevant documents, a maintenance contact and the delivery location together. Ask the supplier to identify any missing information and to list alternatives separately. The engineer or other qualified person responsible for the system should assess compatibility and approve a proposed replacement.

Record the decision

Keep the final quotation, confirmed model reference and technical approval with the purchase record. When the equipment arrives, the receiving team can check that it matches the approved order before handover. This enquiry checklist helps organise a request; it is not pump-selection or installation advice.
