Getting PPE sizes right before a bulk order
A bulk order can meet the total headcount and still fail to meet individual needs. Size planning is a simple procurement task that deserves its own worksheet rather than a note at the bottom of an order.
Build a size matrix
List the required equipment by team, approved model and size. Let the responsible supervisor confirm the information. Keep personal details limited to what your internal process needs; a purchasing summary can often use team-level quantities rather than a list of names.
Use the relevant size information
Ask for the manufacturer's size guide for the proposed model. Do not assume that a familiar size from another product is equivalent. Where sample assessment is appropriate, arrange it through the person responsible for equipment suitability and fit.
Confirm availability by size
A supplier may have the requested total quantity but a different size mix. Ask the quotation to show availability for each size. Agree how shortfalls will be handled before dispatch, and do not accept a different size as an automatic substitute.
Clarify exchanges before ordering
Ask which exchange terms apply, including packaging, condition, timing and any exclusions. Record the agreed terms with the quote. Do not promise workers an exchange arrangement that has not been confirmed.
Review the next order
Record the sizes issued and unresolved requirements using your normal process. Recheck the matrix when staffing or approved models change. Reordering the previous quantities is convenient, but it should follow a quick review of the current team.
