Requesting a PPE quote in Kenya: details that prevent delays

A quotation request is easier to answer when it describes the order your team is actually considering. A few minutes spent organising the brief can reduce clarification emails and make supplier responses easier to compare. You do not need to make technical decisions on behalf of your safety team; your role is to carry its approved requirement clearly into procurement.

Confirm the requirement first

Ask the person responsible for workplace safety to confirm the equipment type and any approved model or performance requirements. A broad description such as "site PPE" does not tell a supplier which products to quote. Keep each distinct item on its own line and attach a reference or specification when one is available.

Show quantities and sizes

List the quantity for each item and split size-dependent products into the sizes your team needs. State the unit clearly, such as pairs, pieces or packs, and check the pack quantity if products are sold in multiples. If the size distribution is still being confirmed, identify it as provisional rather than allowing a supplier to guess.

Include delivery context

Share the delivery town or site, a receiving contact and any known access or booking requirements. If you have a requested delivery date, label it as a target and ask the supplier to confirm availability and an estimated schedule. Delivery timing can depend on stock and the destination, so get the commitment in writing before planning around it.

Ask for a comparable response

Request the quoted product references, quantities, unit prices, applicable taxes, delivery charges and quotation validity. Ask suppliers to flag unavailable lines and proposed alternatives separately. This gives your team a clear basis for review without treating a substitution as equivalent before it has been approved.

Keep the final version together

Save the brief and the returned quotation under the same purchase reference. Record clarifications and any approved changes so the buyer, approver and receiving team are working from the same information. This is general purchasing guidance, not a substitute for your organisation's safety assessment or applicable requirements.
