Plan a site delivery that is ready to receive the order
A delivery estimate is only one part of a workable site plan. If the receiving contact is unavailable or the delivery point is unclear, even the right goods can lose time at the gate. Confirm the practical details with the site team and supplier before the order is dispatched.
Name the receiving contact
Agree who can accept the delivery, how the driver can reach them and what to do if the arrival time changes. Share a working phone number with the supplier and ensure someone else on site knows who is covering the handover. Avoid relying on a contact who will be away during the delivery window.
Confirm the delivery point
Provide the correct site name, address, gate or entrance details and any booking instructions. For a large or busy site, explain where the vehicle should report and who can direct it to the unloading area. If access is restricted by vehicle size, hours or security procedures, raise that before dispatch.
Agree the unloading arrangement
Confirm whether the site has the people and equipment needed to unload the order safely. Do not assume a driver or supplier includes offloading, lifting or movement inside the site unless the quotation says so. Bring in the person responsible for site logistics where the load, equipment or access needs require a specific arrangement.
Prepare the receiving paperwork
Give the receiver the purchase order, expected item list and delivery contact details. Ask the supplier to confirm what documentation will accompany the goods. This makes it easier to compare the delivery note with the approved order and to identify partial deliveries or visible damage promptly.
Have a simple contingency
Agree how the site should respond if the receiver is delayed, access is blocked or only part of the order arrives. Record outstanding items and notify the supplier using the agreed contact route. Clear coordination will not remove every delay, but it helps the team respond without losing track of the order. For sites with additional access or safety rules, follow the site's own procedures.
