How to compare industrial supply quotes beyond the headline price

Two quotations can look comparable while covering different products or services. A simple comparison sheet makes those differences visible before an order is approved. Start by giving every supplier the same written brief and a clear deadline for clarification.

Compare the same item

Check model numbers, sizes, materials and pack quantities against the approved specification. Mark each proposed alternative separately. A lower price for a different product is a substitution decision, not simply a saving. Ask the responsible technical person to review it before approval.

Separate product and delivery costs

Record the quoted unit price, applicable tax, delivery charge and any additional services separately. Check whether the quote covers the whole quantity or only the stock currently available. Confirm what the delivery estimate means: ready for collection, dispatched, or received at your site.

Make assumptions visible

List exclusions and unanswered questions beside each quote. These may include unloading, installation, accessories or documentation. Avoid filling gaps with assumptions. Ask for the revised scope in writing so everyone approves the same version.

Check the support arrangements

Ask how incorrect or damaged deliveries are reported, what information is needed for a warranty enquiry and which terms apply to the item. A general statement about support should be translated into the actual contact and process your team will use.

Keep the decision traceable

Record why the selected quote meets the brief. Attach the final quotation and approved specification to the order. When delivery arrives, the receiving team can then check against the same information that informed the purchasing decision.
